How to set up Time Tracking Methods

Kala offers various time-tracking methods to suit your business needs. This guide will walk you through the available options and how to configure them.

Stopwatch

By default, Kala’s Home tab displays a Stopwatch for time tracking. This setup works the same on both desktop and mobile devices.

  1. Start Tracking:
    • Select the relevant project and task.
    • Click Start Timer.
    • The stopwatch will continue running even if you close Kala or use your device for other tasks.
  2. Stop or Switch Tasks:
    • When you finish or need to switch tasks, click Stop Timer.
  3. Rounding Time Entries:
    By default, Kala will round up time entries (e.g., to the nearest 30 minutes). You can configure the rounding interval and method. Navigate to Settings > Advanced Settings, and find the following settings:
    • Time Resolution: Specify how an hour is divided (e.g., into 15 minutes, 30 minutes, or 1-minute intervals).
      • 1: Rounds to the hour.
      • 2: Rounds to 30-minute intervals.
      • 4: Rounds to 15-minute intervals.
      • 60: Rounds to the minute.
    • Round to Nearest Time Entry:
      • Enable this setting to round to the nearest interval instead of always rounding up. For example:
      • With a 15-minute resolution, a 22-minute entry rounds down to 15 minutes (0.25 hours) instead of up to 30 minutes (0.5 hours).

Time Intervals

If you prefer not to use a stopwatch, you can log time by selecting a start and end time:

  1. Enable Time Interval Tracking:
    • Navigate to Settings > Advanced Settings and find the following setting:
      • Use time intervals on the Home screen instead of a stopwatch
  2. Navigate back to the home tab and reload your browser.
  3. Log Time:
    • Enter the start and end times (e.g., 08:00 to 12:00)
    • Click Log Hours
    • Kala will calculate the hours (e.g., 4 hours between 08:00 and 12:00).

Automatic Start Time Adjustment
After logging, Kala sets the end time as the new start time for easier task switching.

Time Picker

The simplest method is to use a Time Picker, where employees log a total number of hours without specifying start or end times:

  1. Enable Time Picker
    • Go to Settings >Advanced Settings and enable the setting:

  2. Navigate back to the home tab and reload your browser.
  3. Log Time:
    • Enter the total number of hours worked (e.g., 4 hours).This method does not track specific times of day.

Note on automatic break deduction
This method does not support automatic break deductions, as Kala does not know when the hours logged occurred (e.g., 08:00–12:00 vs. 16:00–20:00). Learn more about break tracking in Kala here.

Adding a Date Selector

To log time for dates other than the current date, enable the date selector:

  1. Enable Date Selector:
    • Go to Settings > Advanced Settings and enable the setting:
      • Show date selector for time tracking on the Home screen.
  2. Navigate back to your home tab and reload your browser.
  3. Log Time on Other Dates:
    • The date selector works with both the time picker and time interval methods.
    • It defaults to today’s date, so you only need to adjust it when logging time for past or future dates.
