In Kala, you can create various custom work types to track time more efficiently, especially when certain types of work have different rates than your primary rate.
How to Create Custom Work Types
In Kala, you can create custom work types that fit your organization’s needs. To create a new work type, navigate to the following setting:
Work Types and Associated Payroll Codes. Format: ‘Name (Payroll Code);’
- Navigate to Settings > Advanced Settings
- Find the setting: Work Types and Associated Payroll Codes. Format: ‘Name (Payroll Code);
- Type in your desired custom work types:
- Type in your necessary custom work types using the below format, and separated by semi-colons: Name of Worktype (Work Type Number);
Example: Normal Hours (01);Overtime (02);Break (03);Vacation (04);Sick Leave (05);Parental Leave (06);

- Keep Work Types Relevant:
Always create work types tailored to your specific needs. The above examples are for inspiration.- Some users simplify by grouping categories like vacation, sick leave, and other absences into one work type called “Absence.”
- Others create a single project for “Absence” and log hours under that project.
- Save and Apply Work Types:
After entering your work types, ensure the line ends with a semicolon (;). The work types will automatically be added to the Weekly Timesheet in the menu.

How Employees Use Custom Work Types
Once set up, employees can log time under these custom work types. This can be done via the Home-tab, the Projects-tab, or the Timesheets-tab. For instructions on how to use the Weekly Timesheet for time tracking, refer to this guide.
How to Asssign a Custom Work Type to a Project
If a project always involves the same work type, you can bind that work type to a specific project. This eliminates the need to select a project each time employees log hours, saving time and reducing errors.
- Say you have a project named Absence where you want to log employees Absence. Employees log hours here for:
- Sick leave
- Vacation
- Compensatory time off
To bind work types to this project, you need to find the following setting:
Work Types with Assigned Project. Format: ‘Name (Payroll Code) = Project Number;’
- Locate the Project:
- Go to Projects in the left-hand menu and open the desired project.
- Copy the Project Number:
- Copy the project number from your browser’s URL (e.g., KA-3).
- Navigate to Settings > Advanced Settings:
- Find the following setting: Work Types with Assigned Project. Format: ‘Name (Payroll Code) = Project Number;
- Enter Work Type and Project Information:
- Use the following format to bind work types:
- Work Type (Number)=Project Number
- Example: Sick Leave (05)=KA-3;Vacation (04)=KA-3;Compensatory Time Off (06) = KA-3;
- Ensure each entry is separated by a semicolon (;)
- Now, the following work types will automatically be bound the the project number KA-3 (which might have the name Absence)
- Sick Leave (05)
- Vacation (04)
- Compensatory Time Off (06)
- Now, the following work types will automatically be bound the the project number KA-3 (which might have the name Absence)
- Apply Changes
- Once entered, the work types will be bound to the project. Employees can log hours on these work types without being prompted to select a project.
How to Choose Which Custom Work Types are Visible on the Home-tab
If you want to limit the custom work types visible when logging hours on the home tab, you need to find the following setting:
Limit choice of work type on home tab to following work types. Format: ‘Work Type (Number);’
- Navigate to Settings > Advanced Settings:
- Find the following setting: Limit choice of work type on home tab to following work types. ‘Format: Work Type (Number);‘
- Specify which custom work types are visible on the home tab
- Use the format: Work Type (Number);
- Remember to separate with a semi-colon (;)
- Once entered, only the specified work types entered in this setting will be visible on the home-tab.
- Navigate to your home screen and reload your browser (using CTRL+SHIFT+R) for the changes to take effect.
