In Kala, you can log your hours using the Weekly Timesheet. You can find this feature in the menu on the left. The Weekly Timesheet gives you an overview of your recorded hours for the current week and access to past and upcoming weeks.
How to Log Time on the Weekly Timesheet
- Navigate to Timesheets in the left-hand menu.
- Click Add a New Line:
- To log time, click “+ Add Line” next to the relevant work type. If you need help creating custom work types, refer to this guide.
- Select a Project
- After clicking Add Line, you will be prompted to select the project against which you want to log time.
- Log Time for Multiple Projects:
- If you’ve worked on different projects or tasks on the same day, add another line to log time for another project or task.
- This works across all work types unless a specific work type is tied to one project. Learn how to bind a work type to a project here.

Submitting the Weekly Timesheet for Approval
A black bar at the bottom of the Weekly Timesheet displays the total hours logged for the week. Once an employee has finished logging hours for the current week, the timesheet is automatically saved and submitted for approval the following Monday.
After submitting the Weekly Timesheet, employees can no longer make edits.

Approving Weekly Timesheets
If you are responsible for approving timesheets for multiple employees, you’ll see a notification on your Kala dashboard indicating Timesheets Pending Approval.
- Go to the Pending Approval section to review submitted timesheets.
- Review the timesheet and check that everything is correct.
- If needed, you can manually adjust the hours.
- At the bottom of the timesheet, choose to Approve or Reject it.
- If you reject a timesheet, you will be prompted to provide a reason for the rejection, which will be shared with the employee.

Reopening Timesheets After Submission
If an employee has submitted a Weekly Timesheet with errors, the manager can either adjust it themselves or reopen it for corrections. To do this:
- Navigate to Employees in the menu on the left.
- Select the employee and click View Timesheets.
- Review all recorded hours or mileage for the selected employee.
- To unlock a previously approved and locked timesheet, click the orange Unlock button.
This allows the employee to make corrections and resubmit the timesheet for approval.

Adjusting Timesheet Settings
If you have administrator rights, you can modify how timesheets work in your organization. This is done by accessing Advanced Settings and searching for Timesheet.

- In the search bar, search for Timesheet
Popular Timesheet Settings
- Managers Can Edit Timesheets:
Gives managers the necessary permissions to edit timesheets submitted by other users. - Daily Approval:
Change the approval process from weekly to daily.
These settings allow you to customize the timesheet process to fit your organization’s needs.
