How to Use Status to Keep Track of Your Projects and Tasks

In Kala, the status feature helps you visualize the progress of a project and/or task.

When project status is enabled in Kala, you can see the status of a project in the Projects Overview, displayed to the right of the project name. You can find the Projects Overview by navigating to Projects in the left-hand menu.

Activate Project Status

To enable the project status feature, find this setting:

  1. Navigate to Settings > Advanced Settings
    • Find and enable the setting Project status enabled
  2. Navigate to the home screen and reload your page.
  3. Navigate to Projects in the left hand menu
    • You will now see the status of all your projects displayed to the right

Customize Status Names and Colors

You can customize both the name and color of statuses to fit your needs.

To adjust these, go to this setting:

Project Status Options (Color Code);

The text field in this setting looks like this by default:

Status Name (#ColorCode);
Note: It is important that each status, along with its corresponding color code, ends with a semicolon (;). This indicates the separation from the next status in the line.

You can modify, add, or remove as many statuses as you like, as long as you follow the required format and include the color code and semicolon.

What is a Color Code?

In Kala, a color code is a hex code used to identify specific colors. A hex code always starts with a #, followed by a combination of numbers and letters.

You can find hex codes for various colors on this website: HTML Color Codes.

Example Color Codes:

  • Pink: #FF69B4
  • Purple: #9932CC
  • Red: #DC143C
  • Orange: #FF4500
  • Yellow: #FFD700
  • Green: #228B22
  • Blue: #4682B4
  • Brown: #8B4513

How to Use Project Statuses

With project statuses, you can track the stage of any project and get an overview of progress across all projects.

How to Change Project Statuses

You can change a Project’s status in different ways.

  • Directly in the Projects Overview:
    • Make sure Project status is enabled.
    • Go to Projects in the left-hand menu.
    • Find the current status displayed in a colored field next to the project name.
    • Click the field to open a pop-up window where you can update the status.
  • Or Within the Project Details:
    • Open a specific project and go to Info, located at the top under the project title
    • Scroll down to find Project Status.
      • Click the current status to change it directly.

Schedule Status Changes

You can schedule status changes in advance. This is helpful if, for example, a project is set to begin on a specific date, but the project has already been created with the status “To Do.” You can schedule the status to change to “In Progress” on the start date.

To enable this feature, find the setting:

  1. Navigate to Settings > Advanced Settings
    • Find and enable the setting Schedule Status Changes on Home Screen
  2. Navigate to the home screen and reload your page.
  3. Select the desired project for which you want to plan a status change
    • A blue button, Schedule status change is now visible below the Start button
    • Click the button, and in the pop-up window, click +Schedule Status Change in the top-right corner
    • Choose the desired time and new status

Task Status

If you use tasks in your projects, Kala also offers a task status feature that works similarly to project statuses. To access this feature via the home screen, find and enable the following setting:

  1. Navigate to Settings > Advanced Settings
    • Find and enable the setting Task Status Enabled on Home Screen
  2. Navigate to the home screen and reload your page.
  3. Choose the desired project and task
    • You will now see the status of the selected task directly on the home screen.

Statuses for tasks can be modified using the same format as project statuses, by finding the setting:

Task status options (#ColorCode);

Status Name (#ColorCode);

Kanban Overview

Kala’s Kanban Overview provides a clear visualization of the statuses assigned to your projects. This scrum-style feature categorizes all projects by status, allowing you to easily change statuses directly in the overview. Additionally, you can see which employees are assigned to projects or add employees to existing projects.

You can access this feature under Kanban Overview in the left-hand menu
