Kala provides an easy way to add and use subcontractors on your projects. This functionality allows you to share project information, maintain a shared project history, and create requisitions with or for subcontractors using Kala. Both you and your subcontractors can add comments and upload photos to tasks, ensuring everyone stays updated and minimizing misunderstandings.
Enabling Subcontractors
Before adding subcontractors, you need to find and activate the setting:
Enable subcontractor functionality
- Go to Settings > Advanced Settings and enable the setting: Enable subcontractor functionality.
- Once enabled, a new Subcontractors tab will appear under Settings.
- Subcontractor functionality is now active in Kala.
Adding a New Subcontractor
- Navigate to Settings > Subcontractors.
- Click Create New Subcontractor.
- Fill in the following details:
- Subcontractor’s email address
- Relevant product category
- Click Create to save.
Creating Requisitions for Subcontractors
With subcontractor functionality activated and subcontractors have been added, you can create requisitions for your projects. First, find and enable the following setting:
Enable requisitions?
- Enable the feature by going to Settings > Advanced Settings and selecting Enable requisitions?
- Navigate to your home page and refresh your browser.
- A new Requisition option will now appear on your dashboard.
- Select the relevant project
- Click Requisition
- Find the relevant subcontractor and confirm the requisition
When logging into their Kala profile, the subcontractor can now access and update relevant projects, including photos and notes to the project history.

Share Project Updates with Subcontractors
When a subcontractor is added to a project, you can maintain a shared project history. To make updates visible to subcontractors, enable visibility settings:
Visibility settings for comments
- Go to Settings > Advanced Settings and enable Visibility settings for comments.
- In the project’s history, when adding a new update:
- Select Visible to partners to share the update with the subcontractor.
- Select Visible to customer if the update should also appear in the project’s live report.
Only updates marked with these options will be visible to subcontractors and/or customers.

View Requisitions on a Project
To view all requisitions associated with a project:
- Go to the specific project and click Info at the top of the page.
- Scroll to the bottom of the project’s info section and select View Requisitions.
- A pop-up window will display all requisitions for the project.
